Privacy Policy

This Privacy Policy explains how BeelabX Consulting LLC (“BeelabX”, “we”, “us”, or “our”) collects, uses, and protects information when you use ReplyrX, our AI-powered email-reply assistant for Microsoft Outlook, together with its companion web portal (collectively, the “Service”).

1. Information we collect

  • Account & identity information. When you sign in with Microsoft (single sign-on), we receive your name, email address, and organization/tenant identifier from Microsoft. We never receive or store your Microsoft password, and we do not gain standing access to your mailbox.
  • Email content you choose to process. While the ReplyrX pane is open on a message, ReplyrX reads that message’s content (such as subject, body, and sender) to show a preview and to draft replies. The message content and your instructions are sent to our servers and to a third-party AI provider when you request a draft or a refinement, and the message subject and body are retained on our servers for the duration of that drafting session. ReplyrX only ever accesses the message you currently have open — it does not read, scan, index, or monitor the rest of your mailbox.
  • Content you create in ReplyrX. Writing profiles, templates, and knowledge-base entries you add; the drafts generated for you; and, when you edit a draft before using it, the edited version — retained to power features such as history, suggestions, and improving your writing profiles.
  • Your reply history. So the assistant can draw on how you have answered similar messages before, we keep a short record of each reply you use: the sender’s email address, a snippet of the subject, and a snippet of your reply. Each record belongs to you alone within your organization, only your most recent entries are kept, and an entry is deleted automatically once it has gone 90 days without being used. You can ask us to clear this history at any time.
  • Usage & device information. Metadata about your use of the Service — the operations you run, timestamps, the AI model used, and approximate token counts — used for billing and credit accounting and to operate the Service. We also record basic session and device information (a device identifier and your browser/app version) to keep your session active and secure.
  • Billing information. Subscriptions and payments are processed by Stripe. We do not collect or store your full payment-card details; Stripe handles them under its own terms.

2. How we use information

We use the information above to provide and operate the Service; generate and refine email replies at your request; manage accounts, workspaces, and permissions; process billing and credits; provide customer support; maintain the security and integrity of the Service; and improve our features. We do not sell your personal information.

3. AI providers and how your content is handled

To generate a reply, the relevant email content and your instructions are sent to a third-party large-language-model (LLM) provider, which may include OpenAI, Anthropic, Google, or xAI. These providers process the content solely to return a draft to you and, under the terms of their business/API services, do not use content submitted through their APIs to train their models.

4. Service providers (subprocessors)

We rely on trusted third parties to run the Service, including: AI/LLM providers (reply generation), Supabase (database and authentication), DigitalOcean and Vercel (application hosting), Stripe (payment processing), Resend (transactional email), and error-monitoring tools. These providers process data only as needed to provide their services to us and are bound by confidentiality and data-protection obligations.

5. Data retention

We keep your account and content for as long as your account is active, with one exception: reply history entries are removed automatically after 90 days without use, as described above. You may request deletion of your data or close your account, after which we will delete or de-identify your data within a reasonable period, except where retention is required for legal, security, or billing purposes.

6. Data security

We protect data in transit using encryption (TLS) and encrypt sensitive secrets at rest. Access is restricted through authentication, role-based permissions, and per-organization data isolation. No method of transmission or storage is completely secure, but we work continuously to protect your information.

7. Data location

The Service is operated using cloud infrastructure located in the United States and other regions where our providers operate. By using the Service, you consent to the processing of your information in these locations.

8. Your rights

Depending on your location, you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, contact us at contact_replyrx@beelabxapps.com.

9. Children’s privacy

The Service is not directed to individuals under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us information, please contact us so we can remove it.

10. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date above, and where appropriate we will provide additional notice.
